Gravity Sketch External Teams allows you to simply create a Team and designate whether you want it to be only accessed by members of your Organisation, or whether external members can be invited to the Team as guests (hence “External Team”).
How it works
You can find all your teams under the “My Teams” section. Teams will be classified as Internal or External teams. You can use the tab to search between these.

Any member of a Team (whether externally shareable or not) who is part of the Organisation can be made an admin of the Team. The admin can invite other users, and change the settings of the team to become externally shareable. No guests can be made admins of the Team. All members of the Team (including guests) can upload/download files from the Team. Guests can ONLY access the files in the Teams they are invited to.
Collab Room Sharing
Collab Room Sharing gives users the ability to control who has access, and what level of access, to specific Collab Rooms within a Team, without needing to add those users to the Team. A collaborator can be granted to access just one room if outside the org. This feature also allows the user to specify a permission level (Co-Creator, Reviewer or Viewer) when granting access to a collaborator. The permission level is capped by the collaborator’s license, so you cannot grant Co-Creator permissions to a collaborator who only has a Reviewer license.
How it works
- Select a Collab Room within a Team and click ‘Share’ to see the Collab Room Sharing popup
- Click on to the ‘Invite people’ field and you will see a drop-down of users in your Organization whom you can grant access to the Collab Room.
- Select the user you would like to invite, and then select the permission level that you would like the user to have for this Collab Room. Note that the permission level is capped by the user’s licence.
- The Collab Room will now be accessible from the collaborator’s ‘Shared with me’ tab in the left-hand navigation bar.
- Members of the Team containing the Collab Room can invite users from outside the Team with a permission level up to their own level. For instance, a user in the Team containing the Collab Room with Reviewer-level permissions to that Collab Room can grant access to other collaborators to the Room at Reviewer or Viewer permission level, but not Co-Creator.
- Users who are outside the Team but have been granted access to the Collab Room cannot invite further users.
